Cleaning and chemicals

Signed off by whoever actually did it

Cleaning is the task most often recorded in bulk at the end of a week, by someone who was not there for most of it. Recording it against the equipment, as it happens, with the product used, turns a wall chart into a record.

The problem today

The wall chart tells you nothing

  • Ticked in bulk on Friday

A grid of initials filled in at the end of the week proves that somebody had a pen, not that an oven was cleaned on Tuesday.

  • The COSHH file is in the office

Safety information for a chemical is useless in a binder two floors away from the person about to use it.

  • No link to the equipment

Cleaning records and equipment records live in different places, so nobody can see when a specific unit was last properly done.

What it does

Against the equipment, with the product attached

The product and its safety warning reach the person doing the clean.
  • Tasks by area and asset

Daily, weekly and deep-clean tasks assigned to the right area and the right piece of equipment, appearing for whoever is responsible.

  • The product on the task

Which chemical to use is part of the task, along with its safety warnings, shown to the person at the moment they need it.

  • Photo and note when it helps

Attach a picture to a completed clean. Useful for deep cleans, and useful for anybody checking afterwards.

  • A history per asset

Every clean attaches to the equipment, so you can see when a unit was last done and by whom, next to its readings and faults.

In practice

The chemical register that lives where the work is

Each site has a register of the cleaning products it actually uses: type, supplier, where it is stored, and its safety data sheet attached to the product rather than filed separately.

  • Safety information reaches the person using the chemical
  • Products connect to the cleaning tasks that specify them
  • Each clean records which product was used on which equipment
  • New starters are not relying on being told the right one
Each clean attaches to the equipment it was done to.
