prepd360

Records, reporting and exports

Open on the problems, not on everything

A manager’s first question is never "show me all the completed work". It is "what needs me". Prepd360 opens on Needs attention, and the full record is there underneath when somebody asks for it.

The problem today

The record exists but cannot be used

  • Completed work buries the failures

A hundred and twenty eight finished forms and one that failed, in the same folder, in date order. Nobody finds the one that matters.

  • Reporting means re-typing

Producing anything for a client or an inspector means someone collating paper into a document, which takes days and introduces errors.

  • No trail behind a change

If a record was altered, there is usually no way to know it happened, by whom, or what it said before.

What it does

Exceptions first, evidence underneath

The landing screen: exceptions ranked above everything already done.
  • Needs attention is the landing screen

Open issues, overdue work and equipment needing attention, ranked. The dashboard is second, because the exceptions are the job.

  • Alerts with a severity

In-app notifications carry a severity, so a critical issue raises a toast and routine activity simply counts towards the bell.

  • Exports for any date range

Attendance, checks, issues and equipment history out to spreadsheet, scoped to the site and period somebody has asked about.

  • An audit trail underneath

Issue timelines, staff activity, equipment history and completions all keep who did what and when, and evidence cannot be edited away.

In practice

When somebody asks about a Tuesday in March

A client, an inspector or your own investigation wants to know what happened on a specific day at a specific site. This is the question paper records answer badly and slowly.

  • The readings taken that day, with who took them and when
  • Anything that failed, and the corrective action it raised
  • Whether that action was closed, by whom, and on what evidence
  • The equipment’s own history either side of the date
The same picture across every site you are responsible for.
