Staff, rotas and attendance
Attendance is the spine of the whole record
Everything else in Prepd360 depends on knowing who was actually here. No shift, no check. That single rule is what separates a record with a name on it from a box somebody ticked.
The problem today
Nobody can say who did what
-
One handwriting, many people
When the paperwork is completed in bulk at the end of service, every entry belongs to whoever held the pen.
-
A no-show takes work with it
When somebody does not arrive, the checks they owned quietly go unowned, and nobody notices until they are overdue.
-
Certificates lapse unseen
Training and right to work sit in a filing cabinet with no expiry date anybody is watching.
What it does
Who is here, what they can do, what they owe
-
Publish the week
Build the rota by site and section, with each person’s rostered hours shown against their contracted hours, colour coded under, on or over.
-
Sign on at the tablet
Staff choose their name and enter a personal PIN. The tablet shows who is on shift right now, which is what every record is attributed against.
-
No-shows surface immediately
Attendance is measured against the published rota, so somebody not arriving is visible as a gap rather than discovered later.
-
Credentials with expiry warnings
Training, certificates and right to work held against each person, with email warnings before they lapse rather than after.
In practice
Nobody has to issue anyone a login
A shared tablet lives on the kitchen wall. Every member of the brigade uses it, and each one is identified by a six-digit PIN that takes seconds to issue and seconds to use.
- No individual devices, accounts or password resets for floor staff
- A new starter is productive on their first shift
- Casual and agency staff are attributed exactly like permanent staff
- Manager accounts are separate, with their own permissions
